Project overview

A mobile-first staff scheduling and shift management app built for modern hospitality teams. The product centralizes rosters, employee availability, role assignments, and confirmations in one place, with instant push updates to keep crews aligned before, during, and after events. Native distribution on iOS and Android ensures every team member can act on the latest schedule from their phone.

Our objective was to centralize hospitality staff scheduling and shift management in a single mobile hub for iOS and Android, replacing spreadsheets and group texts; reduce scheduling conflicts and shrink time-to-fill with real-time push notifications and confirmations; give managers multi-venue visibility while improving the staff experience with self-serve availability management; and optimize labor costs through coverage and hours analytics—all while preserving existing operations via a planned FileMaker Server integration that leverages the REST-based FileMaker Data API for secure, reliable data access.

As an NYC-based, design-forward catering brand, Pinch Food Design requires a system that matches the pace and polish of its events.

Scope of work

Following analysis of staffing pain points across events and venues, a staff-scheduling platform was built to unify rosters, availability management, and confirmations. Real-time push notifications reduce scheduling conflicts and speed time-to-fill across venues.

Technical challenges

The main challenge was building a hospitality staff scheduling system that handles split shifts, variable rates, and last-minute changes with real-time sync across devices. We engineered a flexible data model with background sync so managers can update schedules without downtime. Integration with FileMaker Server’s REST-based Data API enables secure, incremental migration from legacy systems while preserving business continuity.

Project outcome

The solution centralizes hospitality staff scheduling into a single mobile hub—streamlining rosters, availability, and confirmations—while laying a clear path to deeper analytics and FileMaker integration. Deployed internally on iOS (with push-driven scheduling and availability features) and paired with a native Android build for coverage.

App Store Connect data shows ~48 sessions per active device. Internal feedback reports +25% employee satisfaction, 30% faster time-to-fill, 25% fewer coordination gaps, and 15% lower labor costs driven by better roster coverage, reduced overtime, and fewer last-minute changes across events.
